Position: Administrative assistant

Duties: Within the current SnT administrative team, provide assistance and support to research groups within SnT, such as; Check and validate declaration of expenses, follow up invoices, purchase orders, travel requests, registration payments; Contact with central services of the University (e.g. Finance and Accounting, IT, Infrastructures and Logistics); Organise meetings and events for the activities of research groups; Perform administrative tasks for the organization of the PhD thesis defenses; Produce accurate and timely correspondence, reports and presentations, upon requests; Coordinate with SnT administrative team for office material; Initiate, execute and follow up the life cycle of the academic recruitments in SnT; to this end, the employee will collaborate and coordinate with the Office of Rector, the secretariat of the BoG, as well as the Director of SnT. The workflow process of these recruitments requires a dedicated support to the Chairman of the selection committee
Requirements: Degree in Higher Education or high school degree and equivalent experience; Fluency in English and French; German and/or Luxembourgish would be considered as an asset; Previous experience in other comparable positions; Excellent organizational skills with attention to detail and accuracy; High level of competency in Microsoft Word, Excel, PowerPoint; Advanced user of online communication channels such as Webex, MS Team, Skype and of cloud-based online storage solutions such as OneDrive, DropIt; Reliable, rigorous and proactive; Flexible, creative and “can do “attitude; Able to work under pressure and set priorities; Service-oriented with high team spirit, able to work autonomously; Tactful and diplomatic
