Duties: We are looking for a highly motivated administrative officer whose primary responsibility is to handle procurement at the EMBL Hamburg Unit, with tasks including both purchasing and invoice processing
Requirements: The applicant should have experience as a business management assistant and proven work experience as a Purchasing Officer or similar role. The post requires: Knowledge and experience in procurement of supplies and services including an understanding of supply chain procedures; Good knowledge of vendor sourcing practices (researching, evaluating and liaising with vendors); Attention to detail as well as solid numerical and analytical skills; Good negotiation skills; Knowledge and hands-on experience of MS Office applications and the Materials Management module of an ERP system, ideally SAP MM module; Very good communication skills both in English and German; Ability to work in a team as well as independently Flexibility combined with a service-oriented approach
   
Text: Administrative Officer Location: Hamburg, Germany Staff Category: Staff Member Contract Duration: 3 years Grading: 4, 5 - 6, depending on experience or qualifications Closing Date: 27 November 2019 Reference Number: HH00177 The Hamburg Unit of EMBL hosts an international laboratory with close to one hundred staff and fellows. The main activities are focused on research in structural biology, the provision of experimental facilities to the external research community, and advanced training for scientists. EMBL Hamburg coordinates and is involved in a number of national and international funded projects. Your role We are looking for a highly motivated administrative officer whose primary responsibility is to handle procurement at the EMBL Hamburg Unit, with tasks including both purchasing and invoice processing. Purchasing tasks will include: • Solicitation and evaluation of quotes • Ordering consumables, equipment and services ensuring that EMBL’s Financial Rules and Regulations are met throughout all stages of the process • Receiving goods and placing goods entry in SAP • Negotiating with suppliers and interacting with them concerning orders, deliveries and invoices • Active communication with vendors • Petty cash processing and reconciliation • Checking and reconciliation of credit cards statements These tasks involve close collaboration and interaction with EMBL Hamburg staff and require a high level of responsibility and independence. The post holder will be integrated into the administration team at the Hamburg Unit.
