The Medical Education is a newly established educational track within the Faculty of Science, Technology and Communication. Its primary goal is to implement a new medical education curriculum in the context of a three-year Bachelor program and integrate specialty training in General Medicine, Neurology and Oncology. Other areas of Medical Education are to be developed in the next future. The Medical Education is looking for an: Administrative assistant (m/f) Ref: F4-50011784 / S-STR-8057-00-A Permanent position Full time (40 hours / week) Employee status Starting date: November 2019 Your Role The assistant will provide high-level administrative support to the director of the Medical Education. Manage agendas and assist in resolving operational problems Maintain contact and provide complete and correct up-to-date information on relevant topics, guide through and follow-up on processes to both students and teachers, and external partners (hospitals, laboratories) Prepare and modify documents such as correspondence, reports, memos, etc. Take care of incoming correspondence and follow-up Schedule and coordinate meetings, appointments and travel arrangements Communication and interaction with the university administration services Coordinate and process purchase orders, follow up on invoices and reimbursement of expenses Participation in budget monitoring in collaboration with the Financial Officer of the Faculty Update files, databases and other document types. Maintain complete and efficient records via electronic and hard copy filing system Your Profile Higher Education degree in secretariat or high school degree and equivalent professional experience in a comparable role 3 to 5 years of hands on administrative support experience Fluency in French and English is essential. Good level of German is an asset Excellent written and verbal communication skills Exceptional organisational and administrative skills Ability to execute multiple tasks with high accuracy and achieve deadlines under pressure Detail oriented with good analytical and problem solving skills Ability to handle sensitive information with the highest degree of integrity and confidentiality Tactful, and diplomatic team player Proficient in Microsoft Outlook, Word, Excel.
