Position: Study programme administrator (m/f)

Duties: Follow-up and day-to-day monitoring of budget and expenses; Inform and advise students and teachers on administrative and organisational matters (welcome desk, by phone); Maintain processes and procedures in line with the Faculty and University guidelines (including accounting, human resources, etc.); Processing of external teachers'files; Participation in different events (meetings, visits, open days, student fairs); Processing of administrative and accounting files (invoices, order forms, etc.); General secretarial tasks: reception, telephone, e-mails, correspondence, dispatching, filing and archiving
Requirements: High school diploma in business administration or a Higher education degree; Fluency in French and German. Luxembourgish is an asset; Work experience in administration or in the education sector; Excellent practice of the usual MS office tools; Initiative, ability to manage multiple tasks at the same time independently; Team player, diplomatic, friendly, service oriented; Excellent organisational skills with attention to detail and accuracy; Reliable and proactive; Flexibility regarding working hours

The University of Luxembourg has the following vacancy within its Faculty of Language and Literature, Humanities, Arts and Education (FLSHASE) for a: Study programme administrator (M/F) Ref: F3-50009867 Permanent contract, full-time (40hrs/week) Employee status Foreseen starting date: 15 September 2019 Mission Provide general administrative and secretarial support to the Masters and Long Life Learning certificates of the Faculty. The jobholder will be in charge of the back office of the study programmes for expenses (invoices, reimbursements, purchases orders) and budget monitoring. The jobholder works closely with the team of study programme administrators, the Dean’s office of the Faculty, central services of the University, notably the accounting department (SFC) and logistics (SIL) and suppliers (including adjunct teaching staff). Adhoc administrative support to other study programme administrators will include covering in case of absence (sick leave, holidays, etc.) and helping in times of intense activity and tight deadlines.
