The Role This position will perform and deliver on routine and non-routine assignments for his/her assigned area(s) of responsibility independently in accordance with established procedures/guidelines. You will provide a full range of administrative support for assigned Assistant Vice President level officer(s). Responsibilities Supports and promotes change management and/or departmental/enterprise initiatives within assigned area(s) of responsibility. Meets or exceeds departmental quality and service standards. Works overtime as needed. Delivers routine work independently, in accordance with established procedures and guidelines, in a timely manner and meets deadlines appropriately. Makes routine and non-routine decisions, applying limited but increasingly more discretion within role except for matters of significance which affect the business as a whole or a significant part of it, in accordance with established procedures and guidelines. Applies expanded knowledge obtained from the role in increasingly more complex situations and continues to acquire more knowledge to apply in role. Provides a diverse range of information and performs a diverse range of tasks/transactions related to common programs and services. Organizes and maintains assigned departmental correspondence and records, following up on pending matters as needed. Maintains mailroom documentation. Issues and documents building access security cards for employees, vendors, and consultants in accordance with Company guidelines and policies. Maintains accurate databases of outstanding access IDs by auditing and reconciling database to active employee rosters and tracking of staff additions, terminations, and moves. Provides responses to a diverse range of service requests and escalates more complex service/maintenance issues or concerns to management or appropriate internal stakeholders. Reviews and provides specific information to questions/concerns from internal/external stakeholders (e.g. employees, vendors, real estate companies) by applying expanded knowledge. Communicates effectively and provides customer service to internal/external stakeholders, recognizes what needs to be done to meet customer needs and demonstrates flexibility and responsiveness to meet customer needs on routine work independently. Orders supplies and coordinates routine maintenance and repairs to office equipment. Processes invoices for prompt payment as needed. Plans and coordinates special events as needed. Recognizes increasingly complex issues/concerns for assigned area(s) of responsibility and suggests process improvements. Enters assigned Assistant Vice President(s) expenses reports into appropriate systems. Orders supplies and coordinates routine maintenance and repairs to office equipment as needed. Organizes and maintains assigned Assistant Vice President(s) correspondence and records, following up on pending matters as needed. Sorts, reviews, and distributes assigned Assistant Vice President(s) mail. Education & Experience High School or GED (Minimum Required) 2 - 3 Years clerical and/or administrative support experience that directly aligns with the specific responsibilities for this position. (Required) Certifications "There is no Certification or Licensure Listed" Travel Information Travel Type :National Domestic Travel Amount :up to 10% This position may be subject to Lincoln’s Political Contribution Policy.
