Position: Student Program Coordinator, Guest Services

Duties: Assists with the coordination and facilitation of Oglesby Union Guest Services, including event management, planning, and permitting in spaces managed by the Division of Student Affairs. Facilities and services managed by this position are available seven days per week. Processes reservation requests from Recognized Student Organizations (RSOs), coordinates event details, and inputs necessary information into EMS software. Ensures event types and setups are compatible with space. Reassigns space to maximize usage. Obtains all needed information prior to events taking place. Serves as a backup point-of-contact for Public Functions Coordinator and Reservations Coordinator I. Supports events on evenings/weekends as needed. Works as an event planner for the Oglesby Union and serves on the Event Planning Committee. Attends weekly meetings and participates in event consultations. Serves as a resource to student event planners and works closely with staff and students to manage event permitting and approvals processes. Coordinates efforts with other full-time staff members to hire and train student reservations assistants and welcome/information desk personnel. Supports all student employees in Guest Services and provides information about reservations and events as needed. Attends weekly staff meetings and all training events for student employees. Meets with and reviews reservations policies, guidelines, and best practices with students and faculty/staff members who plan and/or coordinate events. Provides training as to the use of online reservations tools and resources to users needing assistance. Solicits and provides feedback about reservations processes. Recommends improvements to the same. Assesses space use fees and other necessary charges to applicable reservations and receives payment of invoices in a timely manner. Follows up accordingly and ensures prompt payment of balances due
Requirements: Bachelor's degree and two years of experience; or a high school diploma/equivalency and six years of experience. (Note: or a combination of post high school education and experience equal to six years.); Ability to demonstrate effective customer service skills; Ability to effectively train and direct the work of others; Ability to establish and maintain effective working relationships and utilize conflict resolution skills; Experience prioritizing, organizing, and performing multiple work assignments simultaneously; Knowledge of the principles and practices of student program planning, development, and evaluation; A valid State of Florida or Georgia driver's license or the ability to obtain
